Commencing with voter registration, verification, casting votes, counting votes, and scrutinizing results, the Annual General Meeting process can be cumbersome and time-consuming when done manually. This method also poses the risk of human error. Hence, we present a solution – D-Poll Corporate – that streamlines and digitizes the entire process, enhancing efficiency and minimizing the potential for human error.
In 2020, the pandemic hit, leading the Malaysian government to prohibit events or activities that involved people gathering, aiming to reduce the chance of spreading Covid-19. This prohibition extended to the conduct of Physical Annual General Meetings. Through our solution, we enable companies to host their Annual General Meetings virtually, eliminating the need for any form of physical gathering.

Taking a deeper step, we conduct a thorough analysis and a basic interview regarding the previous general meeting. This helps us comprehend the Board’s preferences and comfort levels, allowing us to propose a suitable AV setup. This includes determining preferences like the type of microphone, whether the Chairman prefers reading from paper, screen, or teleprompter, and the number of cameras required. Additionally, we also recce the venue, particularly for virtual meetings. We pre-identify internet stability and liaise with the venue’s IT personnel if necessary. This comprehensive approach ensures a seamless and well-prepared meeting experience.

Pre-meeting walkthrough: aligns expectations, tracks timeline, ensures checklist completion, leading to a Board rehearsal.
Before the General Meeting, a walkthrough with the working committee is conducted to align expectations. We track the timeline and ensure all necessary actions, such as the ROD list, pre-meeting questions, and review of the chairman’s script and PowerPoint slides, have been taken. Once all the checklist items are achieved during the walkthrough, a full rehearsal with the Board of directors follows. This rehearsal includes a run-through with the full AV setup and a technical check-up on sound and audio.

At the General Meeting, we facilitate proceedings by giving cues for starting, controlling camera movements and microphones. This includes managing camera functions, muting/unmuting, and slide control, ensuring synchronized content display following the chairman’s pace. We also monitor attendee numbers, questions, and operate a dedicated hotline for addressing any technical issues they may face.

After the general meeting, we provide necessary reports: attendance, Q&A, and polling reports, along with the video recording. A post-event review is conducted to highlight strengths and areas for improvement in the next meeting.
